GW Events Calendar
The GW Events Calendar is our central resource for information about GW events. The calendar includes school/college, center/institute and departmental events and initiatives. University events are quite varied, ranging from program information sessions to museum exhibitions to athletic games and more.
About the Calendar
The calendar features events organized, hosted or sponsored by GW that take place on- and off-campus. Events may be open to the general public or might be private events for GW faculty, staff, students and/or alumni. GW will not accept event submissions to the calendar from individuals or organizations from outside of the university, with the exception of conferences or other events that are held in GW venues.
If you’re not a GW Events Calendar administrator, you may still submit events once you've logged into the system with your GW UserID. Events must be approved by an administrator. Please review the Events Submission Best Practices and Policy below.
If your role requires you to approve or submit events you can request calendar administrator access.
Personalized Experience
Logging into the GW Events Calendar with your GW UserID not only allows you to submit events, it also gives you access to a customized user experience. Once logged in, you are able to view a personalized Dashboard that features an Activity Feed of events you are organizing and a list of any pending events you have submitted. It's easy to stay up-to-date with any events being hosted by specific places and groups by using the Following section of your dashboard. You can also indicate that you are interested in any events and use the My Calendar feature to view all of these events in one place.
Create an Event Listing: Best Practices
Event Titles
When writing your title, make sure it can stand alone and people will get an understanding of what the event is, if only the title is displayed. Some versions of the calendar will display only the title without the description.
- Event titles should provide an accurate and interesting description of your event.
- Keep it brief: 50 characters or less if possible.
Event Images
- Don't use flyers, posters or images with large amounts of text.
- Event images should be 1080 pixels wide by 720 pixels tall, with the focus in the middle of the image.
- You must have permission and rights to any images included on your event.
Event Descriptions
Put the most important information near the top, and concentrate on why people will want to come to your event. Most people will skim and scan the text, so use clear headings and break up text with bulleted lists and short chunks of content.
- Make sure your description includes at least 2-3 full sentences about the event.
- Be sure to include the most important information at the top of your description, as this text will be displayed when the event is shared on social media.
- Double check your spelling.
- If your event includes a speaker, include their affiliation and credentials.
- Provide inline links to relevant content instead of listing full URLs, and configure those links to open in new windows.
- Follow accessibility best practices for all links and headings.
- Spell out any acronyms.

Join the [group name, e.g. "GW Department of Economics"] for a [summary of event, e.g. "microeconomics seminar"] featuring [speaker name and affiliation, e.g. "Martha Washington from Example University"]. [Speaker] will present [event details, e.g. "their paper entitled, 'The History of Microeconomics.' "]
Event Submission Policy
- Before You Submit

- Your event must be GW-affiliated (hosted by or taking place at the George Washington University).
- Confirm that all of your event information is current and accurate.
- PROOFREAD your event content.
- Review some of the existing events in the Calendar to familiarize yourself with the general style and format for events.
- Event Approvals

Using the event submission form does not guarantee that your event will be published to the GW calendar. All submitted events must be reviewed and approved or denied by the applicable department and/or category owner(s). You will be notified via email within 1-3 business days whether your event has been approved.
- Files and Images

- Do not include images that may be offensive, inappropriate, or in violation of copyright laws or GW policies. Images should be appropriate for the event being submitted.

For example: portraits of speakers, photos of venues, or high quality promotional graphics

Image size should be 1080px (width) x 720px (height), and no larger than 1 MB file size.

You can request to have an image created for your event through GW's Office of Communications and Marketing.

- Featured Events
- “Featured Events” are highlighted on the Calendar website homepage and school/college landing pages. Designation as a Featured Event is at the discretion of calendar administrators. Bear in mind that Featured Events may be updated frequently, and we cannot guarantee how long your event will be featured.
- Withdrawing or Cancelling Events
- You may withdraw your event request from consideration at any time. To withdraw or cancel an event, forward a copy of your event submissions confirmation email to a calendar administrator.

- The calendar has been designed to quickly reflect changes, corrections, and updates on events. Despite our best efforts, some information may be incorrect, or we may not have information on an event you want to attend. We regret any inconvenience caused as a result.
